Returns & Exchanges
How to Offer Exchanges Instead of Refunds on Shopify
Cash refunds are sometimes required by policy or law—but many “wrong size / wrong color” cases are better as exchanges. The challenge on Shopify is making exchange the easy path for the shopper while still processing the return correctly in admin.
Souvely lets you control which resolutions appear in the portal—Refund, Store credit, Exchange for variant, and Exchange for another product—through eligibility rules, then process the exchange through Shopify’s returns APIs.
Native Shopify vs Souvely for exchanges
- Shopify provides return create/process APIs and suggested financial outcomes—including exchange-oriented outcomes when the return is set up that way.
- Souvely adds the customer portal UX (pick a replacement variant or another product), persists exchange intent, and guides merchant approve → process so you are not assembling the case from email.
Step 1 — Decide when exchanges are allowed
Write the commercial rule first:
- Size/color issues → prefer same-product variant exchange
- “Not what I expected” → maybe another product exchange or store credit
- Defective on arrival → often refund or replacement; document photo requirements
- Final sale / personalized → no exchange (enforce in rules)
Step 2 — Limit portal resolutions with rules
In Souvely → Rules:
- Keep a default window (for example 30 days) for exchange-eligible goods.
- Set resolutions allowed so exchange options appear for those products.
- On Pro (or during the install trial), use resolution limits / restocking fees where your policy needs them.
- Exclude final-sale or personalized SKUs so the portal does not offer exchange incorrectly.
Free can edit basic match/effect fields; advanced match fields (tags, countries, reasons) need Growth+; custom Pro rule creation and fee/resolution Pro effects need Pro.
Step 3 — Make the shopper choose a replacement
For same-product exchanges, the portal can preload other variants of the product so the shopper picks size/color before submit. The catalog path only lists variants marked available for sale in Shopify—out-of-stock options should not appear as choosable replacements.
For another product, Shop Now / catalog search lets them pick a different product variant. Validation requires a chosen replacement when an exchange resolution is selected—incomplete exchange requests are blocked.
Step 4 — Approve and process in Shopify via Souvely
- Review the request and the chosen exchange lines.
- Approve so Souvely creates the Shopify return with exchange intent.
- Complete receive / process steps; Souvely records exchange-oriented analytics when Shopify’s suggestion indicates exchange/invoice outcomes.
Exact money movement follows Shopify’s suggested financial outcome for that return—not a parallel ledger inside Souvely. If the replacement costs more, Shopify may suggest an invoice for the difference; if it costs less, a refund of the difference may appear. Confirm inventory and price before you promise “even swap” in customer copy.
Plan notes
- Core refund / store credit / exchange processing is available on Free (within the 5 monthly request cap after trial).
- Volume and advanced rule matching improve on Growth ($29/mo) and Pro ($79/mo).
- Do not promise automatic shipping labels with the exchange—return shipment instructions remain manual in the current primary product.
Realistic exchange example
Example (illustrative): Order #1042 includes a $68 tee in Medium. The shopper opens /apps/returns, chooses Wrong size, selects Exchange for variant, and picks Large (same $68 price, in stock). Support approves; Souvely creates the Shopify return with that exchange intent. After receive/process, Shopify’s suggested outcome handles the even swap—no cash refund. If Large had been out of stock, it would not have appeared as available for sale in the picker; the shopper would need another size, store credit, or (where allowed) a refund path instead.
Common mistakes
| Mistake | Fix |
|---|---|
| Offering exchange in policy but only refund in the portal | Align allowed resolutions with policy |
| Allowing exchange without forcing a replacement choice | Keep portal validation; train CS not to approve empty intents |
| Using exchange for final-sale SKUs | Tag/exclude those products in rules |
| Expecting Souvely to invent inventory that is OOS | Confirm replacement availability in Shopify before promising |
| Hiding internal resolution codes in staff macros | Use merchant labels: Refund, Store credit, Exchange for variant / another product |
