How to Manage B2B Customer Deposits and Payment Terms on Shopify

November 6, 2026 · Wholesale, Quoting

Wholesale buyers often need a deposit or net terms written on the quote. That is different from Shopify automatically collecting a partial payment at checkout.

Souvely lets you record commercial terms on the quote (Unlimited / complimentary full access). Collecting money still goes through a Shopify draft order invoice for the converted totals—unless you run a separate Shopify payment process outside this app.

Terms you can set on a quote (Unlimited)

  • Full payment
  • Percentage deposit
  • Fixed deposit
  • Net 7 / Net 15 / Net 30
  • Custom terms

These appear on the quote/PDF workflow so buyers and staff share the same commercial language. Starter quotes effectively stay on full payment for new terms configuration.

Critical distinction

Souvely records…After you convert…
Deposit % / fixed amount / net terms on the quoteShopify receives a draft order for the negotiated quote totals
Shared language for how the deal should be paidSouvely does not automatically charge only a deposit at convert

Payment collection depends on your Shopify payment workflow after the draft exists (invoice link, marking paid, etc.). Do not assume every Shopify plan or checkout path supports a separate deposit collection automatically—confirm what your shop can do in Shopify admin if you need partial capture outside Souvely’s convert step.

Unlimited (or complimentary full access) is required to configure these terms. After complimentary access ends, Starter does not unlock deposit/net-term editing.

How merchants usually use terms

  1. Build or revise quote totals.
  2. Choose deposit or net terms before sending (Unlimited).
  3. Send so the portal/PDF reflect the commercial terms.
  4. After accept, convert to a draft order and collect through Shopify the way your finance team already handles deposits and net accounts.

Hypothetical example

Example (illustrative): You quote $20,000 with “30% deposit, balance net 15” recorded on the quote. The buyer accepts. You convert the full negotiated lines to a draft order, then your accounting team collects the deposit using your Shopify/invoicing practice—the Souvely quote remains the system of record for what was agreed.

Common mistakes

MistakeFix
Promising “Shopify will only charge 30% at convert”Not what Souvely convert does today
Configuring terms on Starter after complimentary endsUnlimited required
Skipping written terms on the quoteRecord them so portal/PDF match the verbal deal
